Information you provide to us. When you fill out a form, request an estimate, schedule service, or contact us, we may collect your first and last name, phone number, email address, service address, and details about your heating and cooling needs.
Information collected automatically. When you visit our Website, we may automatically collect basic technical information such as your IP address, browser type, device type, pages visited, and the date and time of your visit. Our hosting provider processes this information to deliver and secure the Website.
How We Use Your Information
We use the information we collect to:
- Respond to estimate requests and questions
- Schedule, perform, and follow up on HVAC services
- Send estimate follow-ups, appointment confirmations and reminders, technician arrival and job status updates, invoice reminders, and review requests

SMS/Text Messaging
How we obtain your consent. Our SMS signup form offers two separate SMS choices: customer-care messages and marketing messages. Each checkbox is optional and unchecked by default. You may select either, both, or neither and still request service. Checking the customer-care box authorizes messages about your service request. Checking the marketing box provides express written consent to recurring marketing and promotional texts, including messages sent using automated technology. Simply calling us, emailing us, requesting an estimate, or providing a phone number does not enroll you in SMS programs. We obtain and record consent to the applicable program before sending messages.
Our separate service-request form is provided by Housecall Pro and delivers service requests to our team. Its own optional marketing consent choice applies only when selected. The SMS signup form records additional consent separately and does not automatically change existing subscriptions.
Consent records include the mobile number, each consent choice, submission date and time, source form, and the exact disclosure wording and version presented. Existing customer or lead records are not automatically enrolled in marketing. Promotional texts are sent only where we have documented marketing consent that has not been withdrawn.
If you opt in to receive text messages from Reliable Air LLC, we will use your mobile phone number only to send the types of messages you agreed to receive. These may include customer care messages (estimate follow-ups, appointment confirmations and reminders, technician arrival and job status updates, invoice reminders, and review requests) and, if you separately opt in, marketing messages (seasonal tune-up offers and maintenance plan promotions).
Message frequency varies based on your service requests and the messaging program you choose. Message and data rates may apply. Reply STOP at any time to opt out. Reply HELP for assistance. Consent to receive text messages is not a condition of purchase.
We do not share your mobile phone number, your text messaging opt-in, or your consent record with any third party or affiliate for that party's own marketing or promotional purposes. Full details are in How We Share Your Information below.
We retain records of your opt-in and any opt-out request for as long as required to demonstrate compliance with applicable messaging regulations.
How We Share Your Information
We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:
- Service providers: We may share information with trusted vendors who help us operate our business, such as Housecall Pro for customer records and scheduling, SignalWire for messaging delivery, our website hosting provider for storing SMS consent records, and payment processors. They may use it only to provide those services to us, and they are not permitted to use it for their own marketing.
- Legal requirements: We may disclose information if required by law, subpoena, or court order, or to protect the rights, property, or safety of Reliable Air, our customers, or others.
- Business transfers: If Reliable Air is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
Cookies
The main Website does not add advertising or analytics trackers. Our hosting provider may process technical information for security and delivery. Fonts are loaded from Google Fonts, which receives the technical information needed to serve them, including your IP address. If you follow a third-party link or use an embedded service, that provider may use cookies under its own policy. You can manage cookies in your browser settings.
Data Retention
We keep your information only as long as needed to provide our services, maintain service records, and meet legal and business obligations.
Data Security
We use reasonable administrative, technical, and physical safeguards to protect your personal information. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
